Cost Calculation
Main Content
The Table of Calculations is a collection of NETT prices that make up the price of each tour. The system connects directly to the service provider to help reduce the search time Service price + Supplier. Especially the system has a long storage time, avoiding confusion during storage and operation. Price can be checked at any time during the business year.
When creating a tour, you need to choose the Services provided for each tour day based on the commitment to quality and price provided to customers.
Access Menu > Services > Tour Product: Right-click on the tour > Cost Calculation
Before the tour name, the system displays colored squares, in which:
The tour has been fully calculated with all services
The tour has been calculated but not yet completed
The tour has not been calculated
When accessing the tour price calculation table, you need to configure some data before we begin to calculate the detailed price for each service. Click Calculation Configuration upper right corner
1. Itinerary Management
to add a new itinerary date- Click 
to edit itinerary date- Click 
to delete itinerary date

2. Applied Time Management
It is possible to create multiple time periods for a tour to adjust to the supplier's price regulations and the desired profit of the business (high season, low season).
- Click to add a new Time period
- Click to edit Time period & Mark-up Rate corresponding
Note: The time periods must not overlap, only 1 price policy can be applied at a time
When you add a period, the system automatically generates a tour price calculation table, adjust the profit rate as previously set. You can change the providers and services in accordance with that tour program according to each applied time period.
3. Clear Worksheet
You can delete all service data of the supplier in the worksheet
4. Tour Pax Management
This function allows the worksheet to automatically calculate based on the tour pax. For example: 1pax - 2pax, 3pax - 4pax... and choose the type of car (according to the number of seats) respectively you will use for each pax.

FOC (Free of Charge): It is often used in the travel industry to describe (additional) services for which the customer does not have to pay for. (Example 10 pax, FOC 1: The system calculates total group cost by 10 pax and divides it by 9 pax to get Nett 1 pax).
Note:
- For S.I.C Tour: The tour pax is the maximum number of guests of the group that the business intends to organize. If the maximum number of guests is n, then you need to create 2 guest ranges from 1 to n-1 and the otherrange is n-n. Since the S.I.C tour is a group tour, the booking of each sale can only be 1, 2 pax, so we need to create a 1- (n-1) group to support the back-end sales process. As for the n-n group, the system calculates the exact price for 1 pax.
For example: With Tour A, the company organizes groups with the number of pax open for sale in a day is 45 pax
You need to create 2 guest ranges that are 1-44 and the other range is 45-45.
When calculating, the system accurately calculates the services used, the cost for 1 pax in a group of 45 pax
- For Private Tour: This guests range is the number of customers that we usually sell. (Can be flexibly adjusted in the back sales process according to the specific number of customers)
- FOC in groups is only applicable for Private tours.
If you enter only 1 group of guests/guests range and apply FOC, the system will automatically apply and display the number of FOCs for larger groups/ range of guests.
For example, in the image above, enter FOC for 10 guests as 1 but do not enter FOC for the ranges of 16 guests and 20 guests. The system will automatically update these 2 larger groups of guests as 1 FOC. When you enter more FOC for about 16 and 20 guests, the system will update the record
5. S.I.C Tour Configuration
This function only applies to S.I.C tours, this is also the only difference between S.I.C and Private tours.
For the S.I.C tour, the company have a plan to organize the tour first, then the Sale and transfer to the Operation to organize the tour as planned.
The product department needs to calculate the Nett tour price, the minimum number of people to organize the tour, the selling price of 1 person to achieve the expected profit.
In the TravelMaster software system, you can calculate the Nett price for 1 pax of the group of guests to be organized.
Because each business has different costs and expected profits, the product development department needs to calculate a tie based on the Nett price and enter the price list in the S.I.C Tour Configuration. This is the selling price applied to the sale of the business when selling to Agents and Retailers.
- Applied time: Available period of tour price.
- Star rating: With a tour program, travel businesses can provide for many objects with different needs. Therefore, the tour classification function helps businesses manage the price and service system according to each tour class.
For star rating: Click 
> Select star rating then enter the price as above.
6. Tour Program
The function to export the tour program to a word file, the information includes:
- Information of travel agencies
- Tour name
- Number of days/Number of nights
- Summary of tour itinerary
- Detailed program each day
- Price list by pax number, with FOC policy if any
- Accommodation information
7. Export worksheet
The function to export the spreadsheet to an excel file, used in case businesses need to save a hard copy or submit a signature.

a) Star rating
Choose a star class to suit the needs of each customer group and calculate the price for each star class
For star rating: Click > Select star rating then enter the price corresponding to each star class to be calculated.
b) Tour Calculation
Service usage per day is accounted for by Supplier Type

You can use the criteria in the search box to quickly find the right supplier:
- Search box: Service name
The system defaults to the date according to the current time to search for services that are satisfied with the provided time, you can change it back to the appropriate search time.
To display all service providers, click
to clear filter criteria.Services that have expired have an icon
for you to easily identify. However, in case the application period expires but the service price of the provider does not change, you can still choose to use this service for the tour.VND...From...To: Enter Nett price range to search for services that satisfy the price criteria.
Tick on the service you want to choose and click 
If the service is not on the list, click to quickly add services to the Supplier
Notes when applying a service:
- After selecting the service, the system will automatically display Nett Price, you can edit this price if needed.
(When edited here, the price applies only to this product tour and is not changed in the supplier area)
- Type: Display 2 options
- Variable price (applicable to 1 person)
- Fixed price (Applicable to the whole group)
- Applied time: The system displays all the days that will use this service, you can apply the service of 1 provider for all days or use a different provider every day, depending on the purpose of use.

c) When the calculation is complete:
- For Private Tour: Enter the Markup Rate to calculate the selling price to the customer based on the Nett price
- For S.I.C Tour: Access Calculation Configuration > S.I.C Tour Configuration to enter the selling price, see more

(2) For each service, you get a function window corresponding to each type and separate business.
1. Hotel
This service will default to Variable Price. Fields to note in the hotel calculation section:

, the screen opens in a new window, you can use the hotel quick search box or filter by the criteria Province/City, Hotel Class. Then select the hotel, the window on the right will show a list of rooms available in the hotel you choose, select the room you want to use for the price calculation. Then click to save.

- Room Class, Currency, Nett FIT Rate, Extra: Autofill according to the room you choose.
- Type: Variable/ Fixed Price apply for day
Note:
+ Particularly for Private Tour, the hotel price list will display the additional cost of Surcharge Single Supplement.
+ Single Supplement not included in the total value of the tour, just for display to understand the additional cost if the guest needs to stay in a separate room. This surcharge is calculated by the formula:
2. Restaurant
This service may include breakfast, lunch, and dinner. Fields to note in the Restaurant calculation:
- Meals: Breakfast/ Lunch/ Dinner
- Supplier: Click , the screen opens in a new window, you can use the Restaurant quick search box or filter by the criteria Province/City. Then select the Restaurant, the window on the right will show a list of services available in the Restaurant you choose, select the service you want to use for the price calculation. Then click to save.
- Type: Variable/ Fixed Price (defaults to Variable Price for this service). See Variable, Fixed price conventions here.
- Restaurant, Currency, Nett Price, Extra: Autofill according to the meals you choose.
Note: You can add breakfast, lunch, and dinner meals on the same day by click 
.
This service may include multiple tickets. Follow the instructions below:
- Supplier: Click , the screen opens in a new window contains information about the service of Landscape Tickets of the Suppliers whose services are relevant to the destination that the Tour itinerary passes through. (See more about Tour itinerary here)

4. Transportation
You need to pay attention to the distances that you set up in advance. For example: 1P/7 seats, 3P/16 seats, 7P/24 seats, etc. Fields to note in the Transportation calculation:

8. Air Tickets
Fields to note in the Air Tickets calculation:
- Supplier: Click , the screen opens in a new window, you can use the Air Ticket quick search box or filter by the criteria Province/City. Then select the supplier, the window on the right will show a list of Air Ticket available in the supplier you choose, select the Air Ticket suitable for the price calculation. Then click to save.

Currently, the system displays the price of Landtour according to each customer entered in Supplier

Note:
(A) For Private Tour:
The group of guests in the calculation table must be within the guest range of the Landtour you choose, specifically:
+ The smallest pax in the tour calculation table must be greater than or equal to the smallest number of guests in the Landtour
+ The largest pax in the tour calculation table must be less than or equal to the largest number of guests in the Landtour
Example:
+ The smallest pax in the worksheet is 01 pax, the largest is 20 pax
+ + Landtour's smallest guest range is 01 pax, the largest is 10 pax
==> Therefore, the condition is not met The largest pax in the Calculation Table must be less than or equal to the largest number of guests of Landtour, the system will have a warning that the Landtour distance is not suitable.
(B) For S.I.C Tour:
The guest range in the S.I.C Tour calculation table must match the number of guests of Landtour.
Example:
The worksheet has the ranges of: 01 - 06, 07 - 15, 16 - 40
The number of guests in the Landtour Supplier has the ranges of: 01 - 06, 07 - 15, 16 - 45,...
The 3rd guest range of the calculation table is 16 - 40 and that of the Landtour is 16 - 45. Therefore, the condition is not met The distances in the S.I.C tour calculation table must match the number of customers of Landtour, the system will have a warnin Landtour range is not suitable.
After selecting the service and Save, the system will display different Landtour prices for each pax.

11. Train

Then select the supplier, the window on the right will show a list of Train available in the supplier you choose, select the Train suitable for the price calculation. Then click to save.

12. Boat

Trong khi chiết tính giá, chúng ta có thể điều chỉnh lại nội dung chương trình tour, các dịch vụ sử dụng theo ngày ngay tại đây một cách linh hoạt.

Một tour có thể tạo nhiều khoảng thời gian áp dụng để điều chỉnh phù hợp với giá và các nhà cung cấp theo mùa cao điểm, thấp điểm
Có thể thao tác để sửa thời gian, tỷ lệ lợi nhuận (Tính theo % hoặc 1 số tiền cụ thể) cho các khoảng thời gian khác nhau.
Lưu ý: Các khoảng thời gian không được trùng nhau, tại 1 thời điểm chỉ áp dụng được 1 chính sách giá
Hệ thống tự động nhân bản dữ liệu chiết tính từ 1 khoảng thời gian ban đầu bạn đã chiết tính và áp dụng cho các khoảng thời gian khác. Bạn có thể thay đổi lại các nhà cung cấp, dịch vụ phù hợp theo từng khoảng thời gian áp dụng.
Thao tác này giúp bạn xóa toàn bộ dữ liệu dịch vụ của nhà cung cấp trong bảng chiết tính.
Thường được sử dụng trong 1 số trường hợp như sau:
1. Tour có nhiều khoảng thời gian áp dụng và mỗi khoảng thời gian áp dụng các dịch vụ với nhà cung cấp khác nhau. Bạn sử dụng thao tác này để xóa đi các dịch vụ có trong bảng chiết tính với 1 khoảng thời gian cụ thể, tiến hành lựa chọn các nhà cung cấp phù hợp.

2. Trong bảng chiết tính này ngoài việc áp dụng giá theo khoảng thời gian, hệ thống còn cho phép chúng ta cung cấp dịch vụ theo hạng sao với các đối tượng khách hàng có nhu cầu khác nhau.
Hiện tại 1 khoảng thời gian áp dụng sẽ có tương ứng với 4 phân khúc dịch vụ, tương đương 4 bảng chiết tính giá:
- Không phân hạng sao
- Hạng 3 sao
- Hạng 4 sao
- Hạng 5 sao
Bạn có thể điều chỉnh trên từng bảng giá này các dịch vụ như khách sạn, nhà hàng...phù hợp với phân khúc khách hàng sử dụng.
Trong trường hợp cần thiết, bạn cũng có thể xóa trắng bảng chiết tính để thay đổi toàn bộ dịch vụ cho mỗi hạng sao.

Chức năng này sẽ cho phép bảng chiết tính tự động tính giá dựa trên các khoảng khách hàng mà bạn thiết lập. Ví dụ: 1pax - 2pax, 3pax - 4pax... và lựa chọn loại xe ôtô (theo số chỗ) tương ứng bạn sẽ sử dụng cho mỗi nhóm khách.

FOC: Chính sách FOC của doanh nghiệp lữ hành áp dụng cho khách hàng, Cột FOC là số lượng pax được miễn phí khi booking (Ví dụ 10 pax, FOC 1: Hệ thống tính tổng chi phí đoàn cho 10 pax và chia cho 9 pax để ra giá Nett 1 pax)
Lưu ý:
- Đối với tour S.I.C: Khoảng khách là các nhóm khách với số khách tối đa của đoàn khi chúng ta tổ chức.
Nếu bạn tổ chức đoàn với các nhóm từ 10-15, 16-22 khách thì bạn cần thêm 3 khoảng khách tương tứng là 1-9, 10-15, 16-22. Thực tế trong chiết tính chúng ta không quan tâm nhiều tới nhóm 1-9, tuy nhiên do đặc thù ghép lẻ nên mỗi booking của sale có thể chỉ có từ 1,2,3... khách nên cần có khoảng khách này trong bảng chiết tính để hệ thống nhận được dữ liệu giá bán trong booking sale (Chi tiết về cài đặt giá bán ở mục B (Chiết tính giá))
- Đối với tour Private: Khoảng khách này là số khách mà chúng ta hay bán. (Có thể điều chỉnh linh hoạt ở quy trình bán hàng phía sau theo số khách cụ thể)
- FOC theo đoàn chỉ áp dụng cho tour Private.
Nếu chỉ nhập 1 nhóm khách/khoảng khách và áp dụng FOC, hệ thống sẽ tự động áp dụng và hiển thị số lượng FOC cho các nhóm khách/khoảng khách lớn hơn.
Ví dụ như hình ảnh trên, nhập FOC cho 10 khách là 1 nhưng không nhập FOC cho các khoảng 16 khách và 20 khách. Hệ thống sẽ tự động cập nhật cho 2 nhóm khách lớn hơn này là 1 FOC. Nhưng nếu bạn nhập số FOC khác cho các nhóm khách lớn hơn, hệ thống sẽ ghi nhận số FOC mà bạn nhập cho các khoảng khách đó
Trong bảng chiết tính giá tour này, bạn có thể chọn các dịch vụ áp dụng cho trẻ. Sau đó vào Quản lý nhóm trẻ và nhập tỷ lệ lợi nhuận mong muốn.
Khi sale tạo booking cho khách hàng, nhập số lượng trẻ cùng độ tuổi, hệ thống sẽ hiển thị giá nett và giá bán tương ứng của nhóm trẻ đã được chiết tính chính xác ở đây.
Chúng tôi cài đặt 3 nhóm trẻ theo độ tuổi mặc định trên hệ thống gồm:
0-1 tuổi
2-4 tuổi
5-10 tuổi
Bạn có thể tùy chỉnh các nhóm trẻ theo độ tuổi phù hợp với chính sách doanh nghiệp ở khu vực Cấu hình khác
Chức năng này chỉ áp dụng đối với tour S.I.C, đây cũng là điểm khác biệt duy nhất giữa tour S.I.C và Private.
Đối với tour S.I.C doanh nghiệp sẽ có kế hoạch tổ chức trước, sau đó Sale bán hàng và chuyển Điều hành thực hiện tổ chức tour theo kế hoạch.
Bộ phận sản phẩm cần tính giá Nett tour, số lượng người tối thiểu để tổ chức được tour, giá bán 1 người để đạt lợi nhuận kỳ vọng
Trong hệ thống phần mềm TravelMaster, Hệ thống hỗ trợ nhà tổ chức tính giá Nett cho 1 pax, dự kiến giá bán theo số lượng khách đạt điểm hòa vốn, lợi nhuận đoàn của nhóm khách sẽ tổ chức.
Do mỗi doanh nghiệp có những chi phí cũng như lợi nhuận kỳ vọng khác nhau nên bộ phận xây dựng sản phẩm cần nhập giá bán áp dụng cho đối tượng khách là Đại lý, Khách lẻ.
Chức năng xuất chương trình tour ra file word, các thông tin bao gồm:
+ Thông tin của doanh nghiệp lữ hành
+ Tên tour
+ Số ngày/ Số đêm
+ Tóm tắt hành trình tour
+ Chương trình chi tiết mỗi ngày
+ Bảng giá theo số pax, cùng chính sách FOC nếu có
+ Thông tin lưu trú
Trong bảng chiết tính giá này, hệ thống hiển thị các dịch vụ sử dụng trong tour và ngày sử dụng tương ứng của dịch vụ đó. Bạn chỉ cần tham chiếu dịch vụ tới các nhà cung cấp tương ứng loại dịch vụ sử dụng, thao tác như sau:
Bước 1: Chọn khoảng thời gian áp dụng và phân hạng sao bạn muốn tính giá
Bước 2: Lựa chọn nhà cung cấp phù hợp trong bảng dự toán chi phí
Click chuột vào 
để lựa chọn nhà cung cấp dịch vụ phù hợp, trong đó:
Nhà cung cấp: Ở trường này bạn có thể sử dụng các công cụ tìm kiếm theo tên nhà cung cấp, địa chỉ...để tìm kiếm.
Nhấn vào 
để chọn 1 nhà cung cấp, lúc này hệ thống sẽ hiển thị toàn bộ dịch vụ của nhà cung cấp đó
Bạn có thể sử dụng các tiêu chí trong ô search để tìm kiếm nhà cung cấp phù hợp 1 cách nhanh nhất:
- Ô tìm kiếm: Tên dịch vụ
Hệ thống lấy mặc định ngày theo thời gian hiện tại để tìm kiếm các dịch vụ thoải mãn về thời gian cung cấp, bạn có thể thay đổi lại về thời gian tìm kiếm phù hợp.
- Để hiển thị tất cả các dịch vụ của nhà cung cấp, bạn nhấn vào 
để xóa các tiêu chí lọc
- Các dịch vụ đã hết thời gian áp dụng hệ thống có biểu tượng 
để bạn dễ dàng nhận biết. Tuy nhiên với trường hợp hết thời gian áp dụng nhưng giá dịch vụ nhà cung cấp không thay đổi thì bạn vẫn có thể chọn sử dụng dịch vụ này cho tour
- VND...Từ....Đến: Nhập khoảng giá Nett để tìm kiếm các dịch vụ thỏa mãn về tiêu chí giá
Tick vào dịch vụ muốn lựa chọn và nhấn 
Nếu dịch vụ chưa có trong danh sách, nhấn 
để thêm nhanh dịch vụ cho Nhà cung cấp đó
Lưu ý khi áp dụng 1 dịch vụ:
- Sau khi đã lựa chọn dịch vụ, hệ thống sẽ tự động hiển thị Giá Nett, bạn có thể sửa giá này nếu cần.
(Khi sửa ở đây, giá chỉ áp dụng cho tour sản phẩm này và không bị thay đổi ở khu vực nhà cung cấp)
- Ô Loại: Hiện thị 2 lựa chọn đó là Giá biến đổi (áp dụng cho 1 người) và Giá cố định (Áp dụng cho cả đoàn)
- Ngày áp dụng: Hệ thống hiển thị toàn bộ các ngày sẽ sử dụng dịch vụ này, bạn có thể áp dụng dịch vụ của 1 nhà cung cấp cho tất cả các ngày hoặc mỗi ngày sử dụng 1 nhà cung cấp khác nhau, tùy theo mục đích sử dụng
- Loại áp dụng: Giá Biến đổi/ Cổ định áp dụng theo ngày sử dụng.
Ví dụ: Khi bạn chọn khách sạn ở đêm 1,2 trong hành trình tour và loại áp dụng là Biến đổi, giá nett 1.200.000đ/phòng/đêm.
+ Chọn cố định: Hệ thông sẽ áp dụng giá 1.200.000đ/phòng và tổng chi phí không thay đổi theo số đêm sử dụng.
+ Chọn biến đổi: Hệ thống sẽ áp dụng tính giá: 1.200.000đ/phòng*số đêm để tính tổng chi phí.
Để tránh việc quý khách bị nhầm lẫn trong các dịch vụ nên chúng tôi khóa mặc định 1 số dịch vụ cụ thể theo đặc thù. Xem thêm loại giá biến đổi/cố định tại đây
- Một số dịch vụ được áp dụng chính sách FOC đã nhập từ Nhà cung cấp, hệ thống sẽ tự động hiển thị số lượng FOC dịch vụ ngay bên cạnh giá của dịch vụ ở khoảng khách tương ứng

Dịch vụ áp dụng cho trẻ em (Dịch vụ cố định ko áp dụng tính giá cho trẻ em):
Đối với các nhà cung cấp không số hóa giá trẻ em lên hệ thống ở khu vực Nhà cung cấp thì tại đây, hệ thống sẽ tính mặc định là 50% giá người lớn.
Bạn có thể tùy chỉnh giá cho mỗi nhóm trẻ tại cột Giá nett theo số tiền cụ thể
Tích vào ô Áp dụng để xác nhận dịch vụ áp dụng cho trẻ em.
- Dịch vụ này sẽ mặc định tính bằng Giá biến đổi
- Đối với tour Private, tại bảng giá khách sạn sẽ hiển thị thêm giá Phụ phí Phòng đơn (Single Supplement)
+ Phòng đơn (Single Supplement) sẽ không tính vào tổng giá trị của tour, chỉ mang tính hiển thị để nắm được chi phí cần thu thêm nếu khách có nhu cầu ở riêng phòng. Phụ phí này được tính bằng công thức:
Phụ phí phòng đơn = Giá 1 phòng - (Giá 1 phòng/số khách tối đa 1 phòng)
Ví dụ: Giá 1 phòng = 3.600.000đ, tiêu chuẩn tối đa 3 khách/phòng
Khi đó, Phụ phí phòng đơn = 3.600.000 - (3.600.000/3) = 2.400.000đ
Khi chiết tính giá khách sạn, hệ thống sẽ mặc định tính theo giá ngày thường vì ở giai đoạn thiết kế tour sản phẩm chúng ta không thể xác định thời gian khởi hành của khách. Việc thay đổi giá cuối tuần/lễ tết sẽ được thực hiện ở quy trình kinh doanh.
(A) Đối với Tour Private:
Nhóm khách trong bảng chiết tính phải nằm trong khoảng khách của Landtour của nhà cung cấp bạn chọn, cụ thể:
+ Điều kiện 1: Nhóm khách NHỎ NHẤT của bảng chiết tính tour phải LỚN HƠN hoặc BẰNG khoảng khách NHỎ NHẤT có trong BẢNG GIÁ LANDTOUR của nhà cung cấp
+ Điều kiện 2: Nhóm khách LỚN NHẤT của bảng chiết tính tour phải NHỎ HƠN hoặc bằng khoảng khách LỚN NHẤT có trong BẢNG GIÁ LANDTOUR của nhà cung cấp
Ví dụ như hỉnh ảnh dưới đây:
+ Nhóm khách NHỎ NHẤT của bảng chiết tính tour là 01 pax, LỚN NHẤT là 20 pax
+ Khoảng khách NHỎ NHẤT của landtour là 01 pax, nhưng khoảng khách LỚN NHẤT của landtour là 10 pax
==> Do đó không đáp ứng điều kiện 2, hệ thống sẽ có cảnh báo Khoảng khách Landtour không phù hợp.

(B) Đối với tour S.I.C/ Outbound:
Điều kiện: Các khoảng khách trong Bảng chiết tính tour S.I.C phải trùng khớp với khoảng khách của Landtour.
Ví dụ:
- BẢNG CHIẾT TÍNH GIÁ TOUR SẢN PHẨM có các khoảng khách là: 01 - 07, 08 - 15, 16 - 20
- Khoảng khách trong BẢNG GIÁ LANDTOUR của NHÀ CUNG CẤP có các khoảng khách là: 01 - 07, 08 - 15, 16 - 20

- Điều kiện là PHẢI TRÙNG KHỚP CÁC KHOẢNG KHÁCH giữa 2 bảng như dưới
